Student clubs and organizations are open to anyone in the campus community, regardless of race, national origin, sex, gender identity, sexual identity, and/or any other protected characteristic.

Club Reimbursement & Purchase Requests
Use the Caltech Help Desk to submit club reimbursement or purchasing assistance requests.
To request a CLUB REIMBURSEMENT, use the Help Desk - Club Guide. You will receive a ticket number from the help desk & an email confirmation from the Bursar's office when the refund request has been processed.
- SFE utilizes the Bursar's Office Quick Pay to administer the ACH refunds. The person being reimbursed will receive an email and link from JP Morgan Chase to collect payment. Click here for Bursar Quick Pay Instructions.
- *Please note: payment for services (e.g., instructors, on-site vendors, etc.) require a W9 form to be filed with the Procurement office prior to services being rendered.
To request PURCHASING ASSISTANCE, submit to the Help Desk and use the request type: Student Financial Services→Purchase Assistance.

Collecting Funds
Clubs can collect funds for an event or activity by utilizing OSE's Alternative Venmo, an online form with payment integration. You can find more information on the Student Financial Hub website.
PTA or P-number Request
Students cannot place Facilities Service Requests with a club bursar account number. To request usage of PTA from Student and Family Engagement (SFE), please fill out the PTA Request Form.
- You will receive a response with a PTA within two business days after submission.
- Email the final invoice after the event to [email protected].
- OSE will work with the Bursar to transfer the cost incurred on the work order from your club account back to the PTA provided.
Bursar Account Form
To update your club officer information or authorized user list, please complete the Bursar's Club Account Form and submit it to the Bursar's Office at [email protected].
Please also notify and/or cc, [email protected] of any club officer changes so that club-related notifications can be sent to the current club officers.
ASCIT
ASCIT provides club funding to clubs with participation from currently-enrolled undergraduate students. Clubs can apply for funding at the beginning of the Fall term for general non-event needs. Registered clubs will be contacted via email regarding the initial disbursement. Throughout the year, registered clubs may submit event funding requests by emailing the event funding form to the ASCIT Treasurer. Each form of funding will require a pitch from a club representative. For more information, please see ASCIT's Club Funding Guide. GSC
GSC provides club funding to clubs with participation from currently-enrolled graduate students. Club funding can be applied for once a year, before the start of the academic year, and supports general club expenses, as well as events.
